1. Introduction

These Terms & Conditions (“Terms”) govern the provision of corporate travel management services by AEJ Travels, a UK‑registered travel management company located at 450 Bath Road, Longford, West Drayton UB7 0EB, United Kingdom. By engaging our services or accessing our website, you agree to be bound by these Terms. AEJ Travels is an IATA‑accredited agency and a member of the Uniglobe network.

2. Agency Status

AEJ Travels acts solely as an agent on behalf of airlines, hotels, car rental companies, and other travel service providers (“Third‑Party Suppliers”). Contracts for travel services are formed directly between you and the relevant supplier. AEJ Travels does not act as the principal unless explicitly stated in writing. This clause ensures AEJ Travels is not classified as a “package organiser” under the Package Travel and Linked Travel Arrangements Regulations 2018.

3. Definitions

  • “Client”, “you”, “your”: The organisation or traveller using our services
  • “Services”: Corporate travel management, booking, ticketing, and related services
  • “Website”: aejtravels.co.uk and associated pages
  • “Third‑Party Suppliers”: Airlines, hotels, car rental companies, and other providers

4. Services Provided

AEJ Travels provides corporate travel management services including flight, hotel, and ground transportation bookings; travel policy management; cost control and reporting; 24/7 ticketing and emergency support; online check‑in assistance; travel risk management; and dedicated account management.

5. Booking and Payment Terms

5.1 Booking Confirmation

Bookings are confirmed only upon receipt of full payment or approval under an agreed credit facility. Clients must verify all booking details immediately upon receipt.

5.2 Payment Terms

Payment terms are set out in your corporate agreement. AEJ Travels accepts bank transfers, corporate credit cards, and other agreed methods. For B2B clients, late payments may incur interest under the Late Payment of Commercial Debts (Interest) Act 1998 at 8% above the Bank of England base rate.

5.3 Pricing

Prices are subject to availability and may change without notice. Additional charges may apply for amendments after confirmation.

6. Cancellations and Refunds

Cancellation and refund rules are determined by the relevant Third‑Party Supplier. Non‑refundable fares are not eligible for refunds. Supplier cancellation fees may apply. Refund processing may take up to 12 weeks, depending on the supplier. AEJ Travels is not responsible for supplier delays.

7. Changes and Amendments

Requests to amend confirmed bookings are subject to availability and may incur supplier fees plus an AEJ Travels administration fee. All requests must be submitted in writing.

8. Travel Documentation

Clients are responsible for ensuring that all travellers hold valid passports, visas, and health documentation. AEJ Travels may provide guidance but accepts no liability for disruptions caused by incomplete or incorrect documentation.

9. Travel Insurance

We strongly recommend that all travellers hold adequate travel insurance covering medical emergencies, cancellations, and baggage loss. Insurance is not included unless explicitly arranged.

10. Liability

AEJ Travels acts as an agent for Third-Party Suppliers and our liability is limited to the following:

  1. Third‑Party Supplier Liability: AEJ Travels is not liable for any act, omission, or failure by Third‑Party Suppliers.
  2. AEJ Travels’ Liability: Our liability for losses arising from our own negligence or breach of contract is limited to the fees paid to AEJ Travels for the relevant service.
  3. Exclusions: We are not liable for acts of God, war, terrorism, strikes, or government restrictions; delays, cancellations, or failures by suppliers; or indirect or consequential losses.
  4. Mandatory Statement: Nothing in these Terms limits liability for death or personal injury caused by our negligence.

11. Force Majeure

AEJ Travels is not liable for failure to perform obligations where such failure is caused by events beyond our reasonable control.

13. Online Check‑In Links

Our website may provide links to external check‑in portals. AEJ Travels is not responsible for the content or privacy practices of external websites.

14. Website Use

Clients agree not to misuse the website, attempt unauthorised access, or use automated tools to extract content.

15. Intellectual Property

All website content, including text, images, and branding, is owned by AEJ Travels or its licensors. Reproduction is prohibited without prior written consent.

16. Data Protection (UK GDPR)

AEJ Travels processes personal data in accordance with the UK GDPR and the Data Protection Act 2018. We process traveller data for booking and managing travel services, compliance with legal obligations, fraud prevention, and account management. A full Privacy Notice is available on our website. By using our services, you confirm that you have obtained all necessary consents from travellers whose data you provide to us.

17. Complaints

Complaints should be submitted in writing to info@aejtravels.co.uk. We will acknowledge receipt within 5 working days and aim to resolve issues promptly.

13. Termination

Either party may terminate a corporate agreement by written notice in accordance with the contract terms. Outstanding balances become immediately due.

14. Governing Law

These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the English courts.

15. Changes to These Terms

Material changes will be communicated to corporate clients directly. Updated Terms will also be published on our website. Continued use of our services constitutes acceptance of updated Terms.
